Registration

All papers must be registered. One FULL AUTHOR REGISTRATION will allow the author to present at most two papers on which he/she is an author or co-author. To present more than two paper registration must be done accordingly. The paper authors must register by the respective camera-ready deadline, i.e., November 15, 2025.

Accommodation may be provided as per availability in EDC (Executive Development Center) and Student Hostels on a payment basis on a First Come First Serve basis.

Presentation:

• Accepted papers can be presented either in-person or virtually.

• Please note all papers MUST be presented at the conference in order to be included in IEEE Xplore. If you do not present your paper at the conference, it will not be posted to Xplore.

Paper Revision:

• Final paper length is limited to 6 pages in IEEE format only.

Conference Registration and Presentation

• IEEE policy states that ALL papers accepted in ELEXCOM 2025 must have at least one author registered.

• Author registered under Academic/Industry is allowed to present two papers at the conference. Any additional papers will require a separate fee.

• The deadline for author registration is October 25, 2025.

Step-1:

The authors will have to submit a camera-ready version as per the guidelines given on the conference website on or before 25th October 2025. Please make sure that plagiarism of your manuscript must be less than 30%, using standard plagiarism checking software (e.g Turnitin), before submitting the camera-ready paper from your end to confirm the inclusion of the paper in IEEE Xplore. If Plagiarism exceeds 30%, then the paper will not be forwarded for the publication in IEEE Xplore.

The authors are urged to ensure that the camera-ready submission strictly follows the IEEE Template given on the conference website https://www.ieee.org/conferences/publishing/templates.html

The number of pages in Final Camera-Ready Paper must be 6 Pages. The camera-ready papers that do not meet these requirements will not be submitted for further consideration to IEEE Xplore.

Step-2:

At least one author must register with Full Author Registration and present the selected paper at ELEXCOM’25, for the paper to be considered for inclusion on IEEE Xplore. Each registration is meant for ONE (01) participant to attend the conference only (Certificate will be given to him/her only). Co-author(s) who are also attending the conference, and require certificate, will need to register separately under appropriate registration category.

The final manuscript should have the copyright clearance code notice at the bottom of the first page. Kindly refer to the latex/word template provided here and replace the dummy code at the first page bottom with this code:

• For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

• For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-9078-9/25/$31.00 ©2025 Crown

• For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-9078-9/25/$31.00©2025 European Union

• For all other papers the copyright notice is: 979-8-3315-9078-9/25/$31.00 ©2025 IEEE

Step-3:

Follow the steps below for Preparing Camera Ready submission through IEEE pdf-express:

Before Creating a PDF:

• Prepare in the IEEE double-column format using IEEE Conference Proceeding templates

             1.  For IEEEtran class in LaTeX, use the following as the first line in your LaTeX source file: \documentclass[10pt,conference]{IEEEtran}

             2. DO NOT ADD ANY PAGE NUMBERING, HEADER, OR FOOTER (other than the copyright info discussed below, if applicable).

• Add the copyright notice (given in Step 2) to the bottom of the first page of your source document.
• Proof read your source document thoroughly to confirm that it will require no revision.

Creating your PDF eXpress Account:

• 1. Log in to the IEEE PDF eXpressTM site
• 2. First-time users should do the following:

               1. Select the New Users - Click Here for link.

               2. Enter the following:

                  i) 67950X for the Conference ID

                  ii) your email address

                  iii) a password

• 3. Continue to enter information as prompted.



An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.




Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Step-4:

Procedure for IEEE Copyright Form eCF submission:

To enable your paper to appear in IEEE eXplorer, it is mandatory to transfer the Copyright to IEEE. The corresponding/submitting author of each paper must transfer IEEE eCF. The steps to transfer the Copyright to IEEE are also given below:

• Login to your CMT Paper Submission Portal and Click on the IEEE copyright link. You will be redirected to IEEE Copyright Form Submission page.
• Click on “Click here to redirect to the IEEE copyright website” to transfer eCF and you will be redirected to IEEE copyright portal.
• Follow the steps (Step 1 to Step 5) and provided instructions to complete the IEEE Copyright Transfer process.
• At the end of Step 5, download the completed Copyright Form and save it as .pdf (Make sure to download a copy of the completed form.)
• Login to your CMT Paper Submission Portal and upload this pdf file of Copyright Transfer Form

It completes the Copyright Transfer of your paper to IEEE. Please note that separate copyright transfer is required for each paper.

After you have registered and paid in full for the conference, please follow the instructions below to prepare your final paper and upload it

• Formatting checks are enforced in the submission phase for final manuscripts. Please allow extra time to fix any formatting errors and use PDF-eXpress to generate a compliant file.
• Your final paper will be included in IEEEXplore for archival value after the conference, meeting their scope and quality requirements. However, IEEE reserves the right to exclude an accepted paper from inclusion in IEEEXplore if it is not presented at the conference.

Papers which are not presented or presented by a non-author without prior written approval from the Conference Chairs will be removed from the final conference proceedings before publication in IEEE Xplore®. No refund will be made to authors of these papers.

• Registration fees are not refundable or non-transferable
• Registration fee is inclusive of all applicable taxes
• Registration fee includes attendance at all technical sessions and tutorials
• Registrants availing registration under IEEE member category, must have a currently valid IEEE membership card
• Please keep a copy of the generated transaction ID of the payment. These may be required, if you need to track your payment/registration later
• Please note, ELEXCOM'25 organizing committee will not be responsible for any financial loss caused by improper transactions during registration process in ELEXCOM'25
